2. Pulling data out of invoices, forms, and receipts

Retyping details from PDFs, scanned forms, or photos into a spreadsheet or accounting system is slow and error-prone. AI can read these documents, extract the fields you care about (dates, amounts, names, reference numbers), and send them straight into your systems.

Keep it safe: start with a review step where a person approves each extraction, then relax it once accuracy is proven on your real documents.

3. Summarising long emails, calls, and documents

Long email threads, meeting notes, contracts, and reports take time to read. AI can produce a short summary, pull out action items, and highlight what needs a decision, so your team spends time on the work, not the reading.

Keep it safe: treat summaries as a starting point, and check the original for anything important like legal terms or numbers.

4. Sorting and routing incoming requests

Support emails, contact form messages, and service requests often land in one inbox and wait for someone to sort them. AI can categorise each request, set a priority, draft a reply, and send it to the right person or team.

5. Searching your company documents

Policies, manuals, past proposals, and project notes are often spread across folders and tools. AI-powered knowledge search lets your team ask questions in plain language and get answers with links to the source documents, so anyone can check where an answer came from.

Keep it safe: respect existing access permissions, so people only see documents they are already allowed to see.
